How the estimate works
The calculator uses four steps, all from the numbers you enter:
- Lost bookings from missed calls = missed calls per week × 4.33 × share that are new customers × share who would have booked.
- Revenue from those bookings = lost bookings × average job value.
- No-show revenue = no-shows per week × 4.33 × average appointment value.
- Gross profit at risk = total revenue at risk × gross margin.
The break-even line divides the monthly AI phone answering price by your gross profit per job. It tells you how many recovered jobs a month would pay for answering every call.
Where to get the inputs
- Missed calls: your phone system or carrier call log for the last four weeks.
- New-customer share: compare the missed numbers with your customer list.
- Booking share: of the new callers you did reach last month, how many booked?
- No-shows: your booking tool's report, or your calendar for the last four weeks.
What usually fixes each number
Missed calls are fixed by answering them: a person, an AI receptionist, or a text back when the call is missed. No-shows drop with confirmations, reminders and easy rescheduling. Automation then connects those steps to your CRM so nothing is retyped. See automation for service businesses for how we connect leads, bookings and follow-up, or all prices.
