AI phone answering: what happens on every call
If you run a service business, a ringing phone is a customer who has already decided to contact someone. When nobody picks up, some of them try the next name on the list. An AI phone answering service picks up for you, and it does the same few things on every call, in the same order.
Magnet Mint is a Boston studio. We set up AI phone answering as part of an AI assistant for small businesses. This page covers the service itself. The role it plays in your office is on the AI receptionist page.
A call goes like this:
- Greeting and disclosure. The assistant answers with your business name and says it is an AI assistant. If you record calls, it says so here.
- Understanding the request. The caller says what they need in their own words. The assistant asks short follow-up questions.
- Answering from approved information. It answers hours, services, service area and the other points on your list. If the answer is not on the list, it does not guess. It says it will pass the question to your team.
- Qualifying. It collects the caller’s name, number, reason for calling and preferred time. For a contractor, that can include the address and a short description of the problem.
- Handoff. An urgent or complicated call goes to a person by transfer or alert. A routine request goes into the log.
- Summary. Your team gets a written summary and the call is logged.
Every call answered, qualified and logged
Answered means the calls you hand over are picked up and the caller gets a useful response. Qualified means the assistant asks the questions you would ask: is this a new customer, what service, where, how soon. Logged means nothing depends on someone remembering a phone message. Each call produces a record your team can search later.
We do not promise that every call ends in a booking. Some callers hang up, some have the wrong number, and some want a person. What the service does is make sure each call gets an answer and each request reaches you. If you want the assistant to put the appointment on your calendar during the call, see AI appointment booking.
Approved answers, so it does not make things up
The most important part of the setup is the answer list. We write it with you from your own information: hours, services, what a visit involves, service area, prices you want shared, cancellation and payment policies, and how to reach a person. You approve every line. The assistant answers from that list and from nothing else.
Two rules apply to anything outside the list. The assistant does not quote prices you have not approved. In clinics and law firms it gives no medical or legal advice and takes the request for staff to handle. This is also why we run test calls before launch: we ask the awkward questions ourselves and fix the answers.
Disclosure and call recording
The AI says it is an AI assistant, and callers can reach a person or leave a message. If the caller asks for a person, the assistant follows the handoff rule you set.
Recording is optional. Massachusetts requires all parties to consent to a recording, and its law targets secret recording, according to the Reporters Committee for Freedom of the Press. So if you want recording, the assistant announces it at the start of the call and the call continues only on that basis. If you do not need recordings, the written summary and log may be enough. The state-by-state picture is in our article on call recording laws. This is not legal advice. Check your rules with a lawyer.
Handoff: transfer or alert
An AI phone answering service is only as good as what happens when a call needs a person. There are two ways to hand a call over:
- Transfer. The assistant connects the live call to a staff member or an on-call number.
- Alert. The assistant tells the caller someone will call back, and sends your team a text or email with the details.
Which of the two is possible depends on your phone setup: your carrier, your phone system and how calls are forwarded to the assistant. We check it in the first week and write the answer into the scope, so you know what happens before launch. We do not promise a live transfer on every phone system.
Call summaries for your team
After each call, the assistant sends a short summary by text or email: who called, their number, what they asked, what the assistant said and what is left to do. Requests can also go into a booking tool or CRM you already use, such as Square Appointments, Acuity Scheduling, Jobber, Housecall Pro, HubSpot or GoHighLevel. If you do not use one, the summary is the record and staff confirm.
Run it yourself or have it run for you
If you would rather configure the phone answering yourself, our self-serve product PhoneAnswer (phoneanswer.ai) is built for that. If you want an AI phone agent set up and managed for you as a standalone product, that is CallReply (callreply.com). The service on this page is the version we build into your AI assistant, with your answer list, call flow and connections. A free demo is the place to ask which fits.
When to use it: all calls, nights or busy moments
You decide which calls the assistant takes. A narrow start is usually easier to judge: after-hours answering for nights and weekends, or overflow call answering for when staff are busy during open hours. Routing every call through it can come later, if the first calls go well.
What it costs and what is not included
Phone answering: from $299/month (about 300 minutes). Setup: from $900, usually 2-3 weeks, with the first month included. Prices are as of October 2026.
Not included in any price: domain and hosting, new photography, third-party software subscriptions (billed at cost), SMS carrier registration (A2P 10DLC) and message fees, and AI usage above the plan allowance.
AI answering service or a human answering service?
An AI answering service fits when most calls are routine (hours, area, price you publish, a request to book or call back) and what you need is a reliable record of each one. A human answering service with live operators fits better when a large share of calls need empathy or judgment on the spot, or when callers must not be asked to repeat themselves to a person later. Many businesses use the AI for the routine calls and keep a person for the rest. For costs side by side, see how much an AI receptionist costs.
