Typing the same lead into three places
Many owners do not need “artificial intelligence”. They need the same small jobs to stop eating their week. A web form arrives, someone copies it into a spreadsheet, then into the CRM, then writes to the customer. A booking comes in and nobody tells the technician. A job ends and nobody asks for the review.
That is business process automation: a tool does the repeated steps when something happens, and a person only handles the exceptions. AI can be one of the steps, for example drafting a reply or sorting an inquiry by type, but most of the value is in plain rules that run every time.
Magnet Mint is a Boston studio. We build the workflow, connect the tools you already use, test it and hand it over. We start with your website. Then we improve your business one step at a time, and you choose every step.
What we automate, one agreed task at a time
We do not sell an “automation transformation”. We agree one task, price it, build it and let you see it work. Typical first tasks for a service business:
- New lead handling. A form, call or message creates a CRM record with its source, notifies the right person and sends a confirmation. See website to CRM integration.
- Follow-up that does not depend on memory. A lead that has not been answered in a set time creates a task or a reminder for your team.
- Moving data between tools. Bookings into a sheet, invoices into your accounting tool, new customers into your email list.
- Internal drafts. An AI step drafts a reply or a summary that a person approves before it is sent.
- Reporting. A weekly summary of new leads, booked jobs and unanswered inquiries, sent to your inbox.
If a task needs a CRM first, we set that up first. See simple CRM setup, including when a spreadsheet is enough.
How a task goes from idea to running
- Describe the task. You show us how it works today, with two or three real examples. We write down the trigger, the steps, the exceptions and who is notified.
- Choose the tool. n8n, Zapier, Make or the automation inside your CRM. We pick by what the job needs and what you will pay each month. See n8n, Zapier and Make.
- Build and test. We build it and run it on real examples, including the messy ones.
- Add an alert. If a step fails, someone is told. A silent failure is worse than no automation.
- Hand over. You get a short how-to and the logins, in your accounts, not ours.
- 30 days of fixes. Anything within the agreed scope that needs adjusting in the first 30 days is on us.
What makes this different, in checkable facts
- Scope, price and timeline are agreed in writing before work starts. One task, one price.
- Everything lives in your accounts. You own the workflow and the data.
- Each task is optional. A website or an AI assistant does not lock you into automation, and one workflow does not lock you into a second.
- Error alerts are part of the build. Failures reach a named person.
- One named person leads your project.
- Messages follow the rules. Texts need the customer’s consent (TCPA), and business texting numbers need carrier registration (A2P 10DLC). We set up opt-in and STOP handling. This is not legal advice.
What it costs and what is not included
Automation is priced from $900 per workflow. Typical range: $900-$2,500; with AI or CRM steps $2,500-$5,000. A CRM setup is from $1,200. Work that does not fit a workflow, such as a custom integration or fixing an old setup, is $120/hour. Prices are as of October 2026.
For comparison, Layer3 Labs, an agency that sells AI automation, publishes ranges of $2,000-$12,000 per workflow and $50-$150 an hour for freelancers (its guide, checked October 2026). Those figures lean toward larger companies. For a small business, a first workflow is often a single, well-defined job, which is why we price it as one.
Running costs are separate and paid to the tool’s maker. Our page on n8n, Zapier and Make compares their published plans. We tell you the expected monthly cost before you commit.
Not included in any price: domain and hosting, new photography, third-party software subscriptions (billed at cost), SMS carrier registration (A2P 10DLC) and message fees, and AI usage above the plan allowance.
Who this is for, and who it is not for
This is for service businesses where the team retypes leads, copies data between tools or forgets follow-ups, and where the task is repeated and rule-based. It fits owners in Boston and Greater Boston, and owners elsewhere in the US who are happy to work by call and screen share.
It is not for you if a task happens twice a month. Doing it by hand is cheaper than building it. It is also not for you if nobody can describe the steps today: a workflow cannot fix a process that does not exist yet. Tell us on the first call and we will say so.
Clinics should note that patient information, including a name tied to an appointment request, should not pass through chat, SMS or automation tools unless each vendor signs a HIPAA business associate agreement. Where a tool is not covered, we keep patient details out of that step and let your staff handle them.
How to start
Ask for a free demo: 30-minute call; demo shared within 3 business days. Or call 617-991-9912. Our AI assistant answers and passes your request to the team, which is available Monday to Friday, 9am to 5pm ET. Bring one task that annoys you. We will tell you whether it is worth automating, and what it would cost, before you commit to anything.
