HVAC scheduling software: what you are really choosing
If you run an HVAC, plumbing or cleaning company, “scheduling software” usually means four jobs in one tool: customers book or request a visit, you assign it to a technician or cleaner, the crew sees the job on a phone, and you send an invoice and get paid. The better tools also remind the customer and follow up on quotes.
That is wider than the appointment tools covered in our guide to online booking and follow-up. A salon books one person in a chair. A service company books a truck, a route and a parts list. So the question is less “which calendar” and more “which job workflow.”
We compared five products using only what each vendor states on its own pricing page, opened in October 2026. Prices are in US dollars, change often, and exclude payment processing fees unless noted. We have no partnership or referral deal with any of them, and we do not earn anything if you pick one.
HVAC, plumbing and cleaning scheduling software compared
| Software | What its pricing page lists (October 2026) | Online booking | Scheduling and dispatch | Free trial |
|---|---|---|---|---|
| Jobber | Core $49/mo (1 user); Connect from $139/mo; Grow from $199/mo; Plus from $499/mo (5 users). Annual billing is lower, for example Core $21/mo in year one | Yes, on Core | Scheduling and routing listed; “Find a Time” listed | 14 days on Grow, no card |
| Housecall Pro | Basic $79/mo (1 user), Essentials $189/mo (5 users), Max $329/mo (8 users) on monthly billing; $59, $149 and $299 billed annually | Yes, on Basic | “Scheduling & dispatch” on Basic | 14 days, no card |
| ServiceTitan | Quote only. “Per-technician pricing”; “Request Pricing” on every plan | Not listed by name; “Call Booking” listed | Dispatching and scheduling on all three plans | Not stated |
| Service Fusion | Starter $245/mo, Plus $382/mo, Pro $627/mo on monthly billing; $208, $325 and $533 billed annually. Unlimited users | Not listed on the pricing page | “Scheduling & Dispatching” on every plan | Free demo offered |
| ZenMaid (cleaning only) | Starter $19/mo (up to 40 appointments), Pro $39/mo (unlimited); Pro Max $49/mo is marked “coming soon” | Booking forms for your website on Pro | Calendar, dispatch and map views on Starter | 14 days |
Extra costs to check on each page: Jobber lists card payments at 2.9% + 30 cents and extra users at $29 a month each, with add-ons such as Receptionist at $29 and Marketing Suite at $99 a month. Housecall Pro lists extra Max users at $35 a month and add-ons with no price shown. ZenMaid says text message charges are not included in any plan.
Jobber: simple pricing by team size
Jobber prices by plan and by number of users. The entry plan, Core, is $49 a month on monthly billing for one user. The page says it covers online booking, quoting, and invoicing with online payments. Automated client reminders, quote and invoice follow-ups and QuickBooks Online sync start on Connect. Two-way SMS, job costing and custom workflow automations start on Grow, and crew scheduling starts on Plus.
Jobber’s page does not assign scheduling, routing and “Find a Time” to a specific plan, so ask which plan you need before you buy. Annual billing is much lower in year one (Core is $21 a month, then $29), so compare monthly with monthly, or annual with annual.
Housecall Pro: dispatch and GPS in the entry tiers
Housecall Pro lists online booking and “Scheduling & dispatch” on its Basic plan. Essentials adds routes and employee GPS tracking that uses the technicians’ phones, with no hardware. Max adds route optimization, recurring service plans and open API access. Annual billing is lower: $59, $149 and $299 a month. Only Max lists a price for extra users ($35 a month each), so ask what a sixth user costs on Essentials.
Housecall Pro’s trial gives access to the Max plan for 14 days, which is useful: you can test the full feature set with your own jobs before choosing a smaller tier.
ServiceTitan: built for bigger operations
ServiceTitan does not publish prices. The page says pricing is per technician and shows “Request Pricing” on Starter, Essentials and The Works. All three list dispatching, scheduling and call booking. The model suits companies with a dispatcher or an office team, where a quote and a demo are part of the buying process anyway. If you are a one-truck company, say so on the first call and ask what the smallest setup costs.
Service Fusion: unlimited users on every plan
Service Fusion’s page says you get unlimited users whichever plan you choose. A company with a few technicians and a dispatcher pays the same as one with the whole crew on the app. Starter lists customer management, estimates and jobs, scheduling and dispatching, integrated payments, QuickBooks integration, invoicing and text messaging alerts. The pricing page does not mention online booking, so ask about a customer-facing booking form if that matters to you. Its entry price is higher than Jobber’s or Housecall Pro’s, so it pays off mainly when you have several users.
ZenMaid: for cleaning companies
ZenMaid is built for house cleaning. Starter at $19 a month lists scheduling with calendar, dispatch and map views, plus online payments through Stripe and Square. It is capped at 40 appointments a month. Pro at $39 a month lifts the cap and adds booking forms for your website (with ZenMaid branding) and a “Spotfinder” tool for scheduling new recurring customers. If you clean homes and nothing else, it has the lowest entry price on this list. If you also do commercial cleaning, window cleaning or other trades, a general tool such as Jobber may fit better.
Which one fits your business
- One-truck HVAC or plumbing, you do the office work. Jobber Core or Housecall Pro Basic. Both list online booking and invoicing at entry level. Choose by trial, and watch the per-user cost when you hire.
- 3 to 8 technicians with a part-time office person. Housecall Pro Essentials (5 users) or Jobber Connect or Grow. Check whether the plan you need includes GPS, reminders and two-way texting.
- Growing crew where users cost real money. Service Fusion, because every plan has unlimited users, or Housecall Pro Max (8 users).
- Large HVAC company with dispatchers and a call center. Ask ServiceTitan for a quote and compare it with Housecall Pro Max.
- Residential cleaning, recurring customers. ZenMaid Pro, or Jobber if you also do other kinds of work.
- Commercial cleaning or mixed trades. Jobber or Service Fusion, which are general field service tools.
How to choose in one afternoon
- List your last 20 jobs. Count how many were booked by phone, text, web form or repeat visit.
- Write down who needs to log in: owner, dispatcher, each technician. Price the plan for that number of users.
- Start two free trials, if offered, and enter five real jobs in each from quote to invoice.
- Test the customer side: book a visit from your phone as a customer would, and read the reminder.
- Ask each vendor in writing what is not in the plan: texting fees, payment processing, extra users, phone numbers, onboarding.
- Check the exit. Can you export your customer list?
Software only helps if customers reach you in the first place. A booking link that works at 9pm and a quick reply when you are on a roof both matter; see our guide to missed-call text back.
What Magnet Mint does and does not do
Magnet Mint does not sell or resell any of these products. We connect the tool you already use to your website, set up the booking page, confirmations and reminders, and help you choose if you are starting from scratch. Our booking setup is from $600, and software subscriptions are billed to you at cost by the vendor. See booking software setup for what we configure, or ask for a free demo: a short call, then a demo for your business showing how customers and AI assistants see you today, one positioning idea and 3-4 competitors side by side. It is free, with no obligation.
