Step 3 · Booking and follow-up

Missed-call text back for small businesses in Boston

Missed call text back: what it is and why owners ask for it

If you run a plumbing crew, a salon chair or a treatment room, you cannot answer every call. Some callers do not leave a voicemail and call the next name on the list instead. A missed call text back is a fast, polite reply that keeps the conversation open: “Sorry we missed your call. This is Harbor Plumbing. Want to book a time here: link? Reply STOP to opt out.” (The business name is made up, for illustration.)

It does not replace answering the phone. It covers the calls you could not take. If you want something that talks to the caller, we also run PhoneAnswer, a self-serve AI receptionist, and CallReply, a done-for-you AI phone agent. This page is about the text.

When the call should be answered, not just texted back, use an AI receptionist instead: after-hours and 24/7 answering covers nights and weekends, and overflow and busy-line answering covers the calls you miss while open.

How to set up missed call text back

We follow the same steps for every business.

  1. Phone review. We look at how calls reach you: mobile, a VoIP service, a desk line forwarded to a phone. This decides how a missed call is detected.
  2. Texting number. Business texting needs a number registered with carriers (A2P 10DLC). We submit the registration, which carriers review before messages can flow.
  3. Message wording. We write two or three short texts, for example one for business hours and one for after hours. You approve them.
  4. Booking link. The text includes a link to your booking tool, so the caller can pick a time without waiting for you.
  5. Reply routing. When the customer writes back, the message goes to a named person with a notification.
  6. Rules. Quiet hours, no text to numbers on your do-not-text list, and one text per call, not five.
  7. Test and launch. We call from a test phone, check every message and every STOP reply, then switch it on.

Missed call text back software and what it should do

You can buy missed call text back software on its own, or use the feature in a phone or booking tool you already pay for. Whichever you choose, check these points:

  • Does the text come from a number the customer recognizes as yours?
  • Can the customer book from the text?
  • Does STOP work, and is it logged?
  • Do replies reach a person, with a notification?
  • Is registration included, or billed separately?

For speed to lead on web forms and ads, LeadCallback (leadcallback.ai) is our speed-to-lead callback product. It is built for the moment a new inquiry arrives, when a fast reply matters most.

Texting has rules, and they are not optional. Texts to customers need consent (TCPA). Business texting numbers need carrier registration (A2P 10DLC). Every flow needs STOP handling. We write the opt-in wording, register the number and test STOP. This is not legal advice. If you run a medical or dental clinic, a patient’s phone number tied to your practice can count as protected health information, so the texting tool’s vendor, and every other vendor that carries the message, must sign a HIPAA business associate agreement. Veterinary clinics are not covered by HIPAA. The text can say you missed the call and give a link, and nothing about the reason for the call.

What it costs and what is not included

Missed-call text back is part of the follow-up pack, together with appointment reminders and review requests. Setup: from $500, then from $99/month. Setup takes 1-2 weeks, plus the carrier’s review time. Prices are as of October 2026.

Not included: domain and hosting, new photography, third-party software subscriptions (billed at cost), SMS carrier registration (A2P 10DLC) and message fees, and AI usage above the plan allowance.

Who it is for, and who it is not for

It suits businesses where a missed call is a lost job: home services, salons, clinics and med spas. It is a poor fit if you already answer nearly every call, or if most of your work comes from repeat customers who text you directly. In that case a reminder setup, covered on appointment reminders, is a better first step.

Missed-call text back sits inside online booking, reminders and follow-up. If you also need the booking tool itself, read booking software setup.

Questions owners ask

What is missed call text back?

It is an automatic text sent to a caller you did not answer. The message says who you are, that you missed the call and how to book or reply. It does the job of a voicemail greeting, but it gives the caller something to act on right away instead of waiting for a callback.

How does missed call text back work?

Your phone system detects an unanswered call. A text goes from a registered business number to the caller, usually with a booking link. If the customer replies, the message goes to your team. We check your phone setup first, because some setups need a new texting number.

Why did I get a text message after a missed call?

A business you called set up an automatic reply to missed calls. If you do not want more messages, reply STOP. A properly set up sender stops texting you after that.

Is missed call text back legal?

It depends on how it is set up. Texts need the customer's consent (TCPA), business texting numbers need carrier registration (A2P 10DLC), and every message flow needs STOP handling. We set up opt-in and STOP handling. This is not legal advice, so ask your lawyer about your own case.

How much does missed call text back cost?

It is part of the follow-up pack: setup from $500 and from $99/month. Software subscriptions, carrier registration and message fees are billed at cost and are not in those prices.

How do I set up missed call text back myself?

Some business phone and booking tools have a missed-call text feature you can switch on. Register the texting number, write the message, set STOP handling and test it from a second phone. If that sounds like a day you do not have, we do it for you.

What if the caller is not a customer, such as a vendor or spam?

We set rules so the text goes only to numbers that look like customers, and not to numbers you mark as vendors or staff. You approve the rules before launch.
