One inbox instead of five

A customer texts on Tuesday, then sends an Instagram message because nobody answered, then emails on Thursday. Your team sees three separate conversations in three places, and the customer feels ignored. The problem is not the customer. It is that your messages live in different apps.

A shared inbox puts them together. This is the part of our AI assistant that ties the channels into one place. Magnet Mint is a Boston studio. We set it up for small businesses, and you choose which channels to connect.

What goes into the inbox

Each conversation shows the customer’s name, contact details, request and history, and has one owner.

Staff drafts for email

For email we use drafts, not automatic replies. The assistant reads the message, finds the approved answer and writes a reply in your voice. Your staff read it, change it if needed and send it. This keeps a person in charge of what goes out, and it saves the time of writing the same answer for the tenth time.

Drafts are written from the same answer list as the chat and phone assistant, so a customer gets the same answer on every channel.

What one customer looks like in the inbox

Say a customer asks about a bathroom repair by Instagram message on Monday, calls on Wednesday while you are on a job, and emails a photo on Thursday. In separate apps, that is three strangers. In one inbox it is one customer with three entries: the question, the call summary and the email with a drafted reply. Whoever opens it sees what was already said, so the customer does not repeat themselves.

For the owner, the practical gains are small and concrete. You see which requests have no owner yet. You see which ones have waited longest. You do not have to check five apps to find out.

How we set it up

  1. Map your channels. Where do messages arrive today, and who answers them?
  2. Choose where the inbox lives. The tool you already use if it has a shared inbox, or one we help you choose. We confirm it before work starts.
  3. Write the answer list. One list for all channels, approved by you.
  4. Connect the channels you chose, and set who owns which type of message.
  5. Test with real messages. Including a few awkward ones.
  6. Launch and tune. The first 30 days include tuning within the agreed scope.

What makes this different, in checkable facts

  • One answer list for every channel, approved by you.
  • Nothing goes out by email without a person approving it.
  • Every request has an owner and a summary.
  • Scope, price and timeline are agreed in writing before work starts.
  • One named person leads your project.
  • We connect the tools you already use, such as HubSpot or GoHighLevel for contacts, Square Appointments, Acuity Scheduling or Calendly for booking, or we help you choose.

Privacy and compliance

An inbox gathers everything in one place, which also means one place to protect. You decide who on your team sees which conversations, and we set access to match where the tool allows it.

Texting needs the customer’s consent (TCPA) and carrier registration (A2P 10DLC). The AI says it is an AI on calls and in chat. Clinics should not bring patient information into a shared inbox, including names tied to appointment requests, unless the inbox vendor and every connected channel’s vendor sign a HIPAA business associate agreement. Law firms get intake and scheduling with no legal advice, and client messages stay confidential. This is not legal advice.

What it costs and what is not included

Website chat and messaging: from $199/month. Phone answering, if you add calls: from $299/month (about 300 minutes). Setup: from $900, usually 2-3 weeks, with the first month included. Prices are as of October 2026.

Not included in any price: domain and hosting, new photography, third-party software subscriptions (billed at cost), SMS carrier registration (A2P 10DLC) and message fees, and AI usage above the plan allowance.

Who this is for, and who it is not for

It suits teams of two or more where messages arrive on three or more channels. If you are one person with one phone and one email address, you do not need an inbox tool. A website chatbot or the AI receptionist may be a better first step.

Questions owners ask

What is a shared inbox for a small business?

It is one place where your team sees every customer message and who is handling it, instead of a phone, two social apps and three email accounts. Each conversation has an owner, so nothing is answered twice or forgotten.

What is an omnichannel inbox?

Another name for a unified inbox. It brings messages from different channels, such as text, direct messages, chat and email, into one view, with the history of each customer together.

How does an AI email assistant work here?

It reads the incoming email, finds the matching approved answer and writes a draft reply. Your staff read it, change it if needed and send it. The assistant does not send email by itself.

What is an AI assistant, and how do AI assistants work?

An AI assistant is software that understands a customer's question and replies. Ours answers from a list of answers you approved, collects the customer's request and passes anything else to a person with a summary. See AI assistant for the full picture.

Can the inbox handle phone calls too?

Yes, if you add AI phone answering. The call summary lands in the same inbox as texts and emails. Call recording needs consent in some states, including Massachusetts, and we set the notice up with you.

Do I need to change my email provider?

Usually no. We connect the mailbox you already use. Tell us what you use at the start and we confirm before work starts.

How much does it cost?

Website chat and messaging is from $199/month, plus setup (from $900). Phone answering is from $299/month (about 300 minutes). See AI assistant pricing.
