Every lead in one place, and not left waiting
A lead rarely arrives in one tidy way. One person fills in your contact form. Another taps a booking link. A third sends a message on a Saturday. If those land in different inboxes, someone has to notice, copy them and reply. The slowest part is usually the notice.
Website to CRM integration removes the copying. Each lead creates a record with its source, the right person is told, the customer gets a confirmation, and a reminder appears if nobody has answered. This is part of our automation service, where we automate one agreed task at a time.
Lead follow-up automation: what happens after a form is submitted
Here is a typical flow. We write yours with you, because the steps depend on how your business answers.
- A lead arrives from a form, booking link or chat.
- A record is created in your CRM or sheet, with name, contact details, the service asked for and the source (for example “website contact form”).
- Duplicates are checked. If the same person is already in your CRM, the new request is added to their record.
- The right person is notified by email or text, with the lead’s details.
- The customer gets a confirmation that says what happens next, in words you approve.
- A timer starts. If nobody has replied after the time you set, a task is created, or a second person is told.
- The status updates when someone replies, so the follow-up reminder stops.
Speed matters here, because a customer who is waiting may contact another business. See missed-call text back for calls, which follow the same idea.
Lead generation tools versus lead follow-up
Searches for “lead generation” often mean tools that find new leads. This page is about the leads you already get: not losing them, answering them fast and knowing which source they came from. If you want more leads, start with the website. See web design in Boston and AI search optimization.
What we connect
- Website forms and booking links. Contact forms, quote forms and booking links on your site.
- CRMs. HubSpot, GoHighLevel, or a simple CRM. See CRM setup.
- Sheets and inboxes. A Google Sheet and an alert email are enough for a small team.
- Automation tools. n8n, Zapier or Make, or the automation inside your CRM. See n8n, Zapier and Make.
- Channels. Email, SMS and website chat. Texts need the customer’s consent (TCPA), and business texting numbers need carrier registration (A2P 10DLC). We set up opt-in and STOP handling. This is not legal advice.
Clinics: patient information, including a name tied to an appointment request, should not pass through forms, chat, text or automation tools unless each vendor signs a HIPAA business associate agreement. Where a tool is not covered, we keep patient details out of that step.
What makes this different, in checkable facts
- Scope, price and timeline are agreed in writing before work starts.
- The lead source is saved on every record, so you can see which source brings customers.
- Failures send an alert to a named person.
- Everything is built in your accounts. You own the workflow and the data.
- A person approves any message sent to a customer that is written by AI.
- One named person leads your project.
What it costs and what is not included
Website-to-CRM workflows are priced from $900 per workflow. Typical range: $900-$2,500; with AI or CRM steps $2,500-$5,000. If you do not have a CRM, setup is from $1,200. Extra integration work is $120/hour. Timeline: 1-3 weeks per workflow. Prices are as of October 2026.
Not included in any price: domain and hosting, new photography, third-party software subscriptions (your CRM, Zapier, Make or n8n Cloud, billed at cost), SMS carrier registration (A2P 10DLC) and message fees, and AI usage above the plan allowance.
Who this is for, and who it is not for
This is for service businesses that get leads from a website and want each one saved, assigned and answered. It fits owners in Boston and Greater Boston, and owners elsewhere in the US who work by call and screen share.
It is not for you if you get one or two inquiries a month. Reading your inbox is faster. It is also not a fix for a site that gets no visits. That starts with the website itself.
