Waitlist software and cancellation fill: why an empty slot is fixable
A late cancellation leaves a gap that nobody planned for. If three people wanted an earlier time, the gap should go to one of them. That is what a waitlist or cancellation list does. It also helps the other way: a busy week is when customers cannot find a slot, and a waitlist keeps them from calling a competitor.
Magnet Mint sets this up as part of online booking, reminders and follow-up. We build it on the tool you already use whenever the tool supports it.
How a waitlist app for appointments works
- A customer joins. If no time suits them, they add their name, the service and the days or times they accept. This can be a button on your booking page.
- A slot opens. Someone cancels or moves their appointment, often through the reschedule link in a reminder. See appointment reminders.
- The offer goes out. The waiting customers get a text or email: “A time opened on Thursday at 2:30. Want it?” with a booking link.
- The first to accept gets it. The slot is blocked for everyone else, and the rest keep their place.
- The list updates. A booked customer is removed. One who declined stays on.
If your booking tool has no waitlist, we use a simple version: a form that feeds a sheet, a short message template and a rule for who is called first. It is manual but it works for small volumes.
A cancellation list you can run today
A cancellation list is the simplest version. Keep a note of who wants an earlier time, what service, and how to reach them. When a slot opens, message them in the order they joined. A Google Sheet is enough for the first few weeks. When the list gets long, or cancellations get frequent, automation saves the hour a day you would spend on it.
Rebooking clients: reminders that bring regulars back
Waiting customers fill the slot you have. Rebooking reminders fill the next ones. After a service, we set a rule: “six weeks after a color appointment, send a rebooking text.” The message names the service and carries a booking link. Different services get different intervals, and you decide them.
Rebooking works because the customer already chose you. It is a short reminder, not a campaign. Rebooking texts are promotional, and promotional texts need a stronger opt-in than reminders for a booked visit: usually a clear written consent the customer gives, such as an unticked box they tick. Customers can reply STOP at any time.
Customer history that makes messages fit
Messages that mention the right service, staff member and last visit feel like service, not spam. We keep customer history in one place, your booking tool or the CRM you connect, so the waitlist, the reminders and the review request all read from the same record. If you want that history to flow into a CRM, the next step in our ladder is automation.
Consent for waitlist and rebooking texts
Texts need the customer’s consent (TCPA). Business texting numbers need carrier registration (A2P 10DLC). Every flow needs STOP handling. We write the opt-in wording at the point where the customer joins the list and set up STOP handling and registration. This is not legal advice.
What it costs and what is not included
Booking setup is from $600. The follow-up pack, which includes reminders and review requests alongside the messages here, is from $500 to set up and from $99/month. Prices are as of October 2026. Scope, price and timeline are agreed in writing before work starts.
Not included in any price: domain and hosting, new photography, third-party software subscriptions (billed at cost), SMS carrier registration (A2P 10DLC) and message fees, and AI usage above the plan allowance.
Who this is for, and who it is not for
For businesses with a full calendar, regular customers and cancellations that cost money. It is not worth setting up if you are rarely booked out or if most of your work is one-time jobs. A one-time roofing job does not need rebooking reminders, but a cleaning company or a salon does. See how to reduce no-shows for the policies that work with this.
