Automated appointment reminders: what they do

A no-show costs a slot that cannot be resold. A reminder is the simplest fix: a message that arrives before the visit, says when and where, and gives the customer an easy way to confirm or move it. Appointment reminder software sends those messages automatically from your booking calendar.

Magnet Mint sets this up as part of online booking, reminders and follow-up. We use the reminder features of the tool you already use whenever they are good enough, and add what is missing.

How to set up automated appointment reminders

  1. Check what your tool can do. Text and email, send times, reschedule links, deposits. Tools differ and plans change, so we check the current plan.
  2. Set the timing. A common pattern is a confirmation at booking, a reminder one or two days before, and a short one on the day. The right gaps depend on your lead time.
  3. Write the messages. Short, in your voice, with date, time, place and a link. Examples are in our appointment reminder text templates.
  4. Add the reschedule and cancel links. Inside your cancellation window, the customer can move the booking themselves. Outside it, the message says what happens.
  5. Set up consent for text messages. Opt-in wording at booking, STOP handling, and carrier registration for the sending number.
  6. Test. We book a test appointment and check each message on a phone, including STOP.

Text reminders get read, and they carry rules. Texts need the customer’s consent (TCPA). Business texting numbers need carrier registration (A2P 10DLC), which takes time to approve and has fees. Every message flow needs STOP handling. We write the opt-in line your customer sees when they book, so the consent is on record. This is not legal advice.

If you also want to catch callers you could not answer, see missed-call text back. If you want the appointment booked on the call itself, so there is something to remind, see AI appointment booking.

Reminders for patients and clinics

Dental, chiropractic, PT and medical offices send many reminders and handle sensitive information. The safe pattern is a message that says the practice name, the date and time, and a link or phone number, and nothing about the reason for the visit. Because a name tied to an appointment already counts as protected health information, the reminder tool’s vendor must sign a HIPAA business associate agreement. Staff handle clinical questions. Whether a given message is allowed depends on your situation, so check with your compliance advisor. For tool choices, see scheduling software for dental, chiropractic and PT clinics.

What a good reminder says

A reminder should be usable in five seconds. It has the business name, the service, the date and time, the address or the visit location, and one action: confirm, change or cancel. Anything else is noise. For a home service visit, add the arrival window and what the customer should prepare, such as clearing access to the water heater. For a salon or spa, add the cancellation window, so the customer knows what changing the time costs.

Send times matter too. A message sent at 2am gets ignored or annoys people, so we set quiet hours and send reminders in the customer’s waking hours.

Rescheduling that fills the slot

A reschedule link turns a possible no-show into a moved appointment. If the freed slot is offered to people waiting, it is not wasted. That is covered on waitlist and rebooking. Pair reminders with a written policy, which you can draft from our no-show and cancellation policy templates.

What it costs and what is not included

Reminders are part of the follow-up pack: setup from $500, then from $99/month. Setup takes 1-2 weeks. Prices are as of October 2026. Scope, price and timeline are agreed in writing before work starts, and the first 30 days after launch include help and fixes within the agreed scope.

Not included in any price: domain and hosting, new photography, third-party software subscriptions (billed at cost), SMS carrier registration (A2P 10DLC) and message fees, and AI usage above the plan allowance.

Who this is for, and who it is not for

For appointment businesses where an empty slot costs money. It is less useful if you rarely have no-shows or your bookings are made the same day. If you have no online booking yet, start with booking software setup.

Questions owners ask

What is the best appointment reminder software?

Often the best option is the reminder feature in the booking tool you already use. A separate reminder app is worth it only if your tool cannot send texts, cannot reschedule, or cannot be changed. Our guide to the best booking software for small business compares tools, and we tell you honestly which fits.

Can I get appointment reminders for free?

Some booking tools include email reminders on a free plan, and many charge for text messages. Check the limits and the message fees before you rely on a free plan.

How do I remind patients of appointments?

Send a confirmation at booking, a reminder a day or two before, and a short second reminder on the day. Include the date, time and place, and a link to confirm or reschedule. For clinics, keep the text short and free of treatment details.

Are appointment reminders HIPAA compliant?

It depends on who sends them, what they say and which tool carries them. Under HIPAA, a patient's name tied to an appointment is protected health information, so clinic reminders go only through tools whose vendor signs a HIPAA business associate agreement, and we write reminders that say only that an appointment exists. This is not legal advice. Ask your compliance advisor about your practice.

Do I need consent to text appointment reminders?

Texts need the customer's consent (TCPA), business texting numbers need carrier registration (A2P 10DLC), and every message flow needs STOP handling. We set up the opt-in wording and STOP handling. This is not legal advice.

Can customers reschedule online?

Yes. The confirmation and reminder carry a link to move or cancel the appointment inside your cancellation window. The slot goes back on the calendar, and with a waitlist it can be offered to someone else.

Do reminders really reduce no-shows?

Reminders help, but they work best with a clear policy and sometimes a deposit. We do not promise a number. Read how to reduce no-shows for what to combine.
